  • Information clause for persons participating in recruitment

    1. The administrator of personal data collected during the recruitment process is VINCI Facilities Polska Sp. z o.o. (hereinafter referred to as the “Administrator”). The Administrator can be contacted by e-mail at biuro@vinci-facilities.pl, by phone at +48 22 567 60 56, or in writing (Ul. Domaniewska 32, 02-672 Warsaw).
    2. The administrator has appointed a data protection officer who can be contacted by email at iod@vinci-facilities.pl or in writing (VINCI Facilities Polska Sp. z o.o., Ul. Domaniewska 32, 02-672 Warsaw) in all matters relating to the processing of personal data and the exercise of rights related to data processing.
    3. The purpose of data processing is:
      • conducting the recruitment process by the data controller,
      • and/or conducting future recruitment processes by the data controller, if the candidate gives their voluntary consent.
    4. The legal basis for the processing of personal data is:
      • legal provision – with regard to the scope of data of a job applicant specified in the provisions of the Labor Code: first name, last name, date of birth, contact details, education, professional qualifications, employment history;
      • the legitimate interest of the data controller, in relation to data collected during a possible interview for the purposes of the current recruitment process;
      • consent to data processing:
        • if additional data is provided, the scope of which is not specified in the Labor Code, consent to its processing will be expressed by the candidate’s behavior consisting in sending the application;
        • with regard to the processing of data provided in the application and collected during a possible interview for the purposes of participation in future recruitment processes conducted by the data controller – included in the statement sent in the application.
    5. The administrator will store personal data:
      • until the recruitment process is completed or until you withdraw your consent to the processing of your personal data.
      • If additional consent is given for the processing of personal data for future recruitment processes, the controller will store the data until consent is withdrawn.
    6. When an employment relationship is established, personal data collected in connection with the job application will be included in its entirety in the employee’s personal file in accordance with the implementing provisions of the Labor Code on the maintenance of employee records.
    7. The administrator will transfer personal data to entities processing data on its behalf, within the scope of providing services related to employee recruitment or providing access to IT systems for recruitment purposes – whereby such entities process personal data on the basis of a contract with the administrator and exclusively in accordance with its instructions.
    8. Every data subject has the right to: access their data, request its rectification, erasure, and restriction of processing. With regard to data processing based on the legitimate interest of the data controller, you have the right to object to the processing of your data.
    9. To the extent that consent is the basis for processing, every person has:
      • the right to withdraw consent – by sending a message to the following e-mail address: iod@vinci-facilities.pl Withdrawal of consent does not affect the lawfulness of processing carried out prior to its withdrawal;
      • the right to transfer your personal data, i.e. to receive your personal data from the controller in a structured, commonly used, machine-readable format. Any person may send this data to another data controller.
    10. Every person also has the right to lodge a complaint with the President of the Personal Data Protection Office.
    11. The obligation to provide personal data is a statutory requirement within the scope specified in the provisions of the Labor Code; in other respects, it is voluntary. Without providing the mandatory data, it will not be possible to participate in the recruitment process.

    A person who wishes to have their data stored in the administrator’s database for future recruitment purposes is required to include the following statement of consent to data processing in their application:

    “I consent to the processing by VINCI Facilities Polska Sp. z o.o., (hereinafter referred to as ‘ADO’) of my personal data provided in recruitment documents (e.g., CV, cover letter) and collected during a possible interview for the purposes of participation in future recruitment processes conducted by ADO.”

    Any person may withdraw their consent at any time by sending an email to: iod@vinci-facilities.pl. Withdrawal of consent does not affect the lawfulness of processing prior to withdrawal.
